These Terms and Conditions ("Terms") govern your use of the Stellar Arc Holistic website (www.stellararcholistic.com) and your engagement with any Stellar Arc Holistic coaching, workshop, consulting, or equine-assisted service (collectively, the "Services"). By using this website or booking a Service, you agree to these Terms.
1. Nature of Services
Stellar Arc Holistic offers presence-based, somatic-informed coaching, including individual sessions, couples sessions, workshops (online and in person), consulting for coaches/healers/therapists, and equine-assisted experiences. Client and Coach work collaboratively — not as business associates or in a legal alliance — to enhance the client's personal and/or professional performance through a variety of modalities (somatic, psychoneuroimmunological, meditation, or other holistic methods) as appropriate. Coach agrees to follow the Ethics and Standards of Conduct set forth by the International Coach Federation (ICF), available at https://coachingfederation.org/ethics/code-of-ethics.
Coaching is not therapy, counseling, psychotherapy, or medical treatment. Nicole Palker-Dorio is a coach, not a licensed therapist, psychologist, psychiatrist, or medical provider. Coaching does not involve diagnosis or treatment of mental health conditions, medical conditions, or disease. If you are experiencing a mental health crisis, please see the Risks & Recommendations document and contact a licensed professional or emergency services.
2. Eligibility
You must be 18 years or older to book Services independently. Services for minors require the consent and presence of a parent or legal guardian, subject to a separate agreement.
3. Booking, Fees, and Payment

Session and workshop fees are listed at the time of booking or provided via written quote/proposal.

Payment is due [in advance / at time of booking / per invoice terms — specify], via [payment processor name, e.g., Stripe, Square].

Package or series pricing, where offered, is described at time of purchase and is non-transferable unless agreed in writing.
4. Cancellation and Rescheduling Policy (Private Sessions)

Notice required: Clients must provide at least 24 hours' notice for any cancellation or rescheduling of a private session. Cancellations made within 24 hours of the appointment are considered late cancellations. A missed session with no prior notice is considered a "no-show."

Fee: Late cancellations and no-shows are charged the full session fee, to cover the time and resources reserved for the client. Exceptions may be considered for emergencies or unforeseen circumstances — clients are encouraged to communicate these as soon as possible.

Payment: Any cancellation/no-show fee must be paid before scheduling future sessions.

Rescheduling: Sessions may be rescheduled at no charge, subject to availability, provided the request is made before the 24-hour cancellation window.

How to notify: All cancellations and rescheduling requests must be communicated by text or phone to 860-759-2825.

Workshops and equine-assisted experiences: Full refund up to 7 days before, 50% refund up to 48 hours before, no refund after.

Stellar Arc Holistic reserves the right to cancel or reschedule any session, workshop, or equine-assisted experience due to weather, animal welfare concerns, practitioner illness, or other circumstances beyond our control, in which case clients will be offered a full refund or rescheduling option.

By scheduling a private session, clients acknowledge and agree to the terms of this cancellation policy.
5. Client Responsibilities
A client's emotional, mental, and physical wellbeing is their own responsibility, as are all of the client's own choices, decisions, behaviors, and actions. You agree to:

Provide accurate health and relevant background information prior to equine-assisted experiences or workshops, including any physical limitations, allergies, or conditions relevant to safe participation.

Follow all safety instructions given during in-person sessions, workshops, and equine-assisted experiences.

Take responsibility for your own emotional, physical, and psychological wellbeing, including continuing any prescribed medical or mental health treatment and informing both your coach and healthcare providers about ongoing treatment, and seeking appropriate licensed care when needed (see Risks & Recommendations).

Communicate openly, truthfully, and with direct feedback — a successful Coach/Client relationship is built on honesty, and the client agrees to offer their full engagement to the coaching process.
6. Equine-Assisted Experiences — Assumption of Risk
Equine-assisted experiences involve inherent risks associated with interacting with horses, which are unpredictable by nature. By participating, you acknowledge and assume these risks. A separate, signed Equine Activity Liability Waiver and Release is required prior to participation in any equine-assisted experience.
7. No Guarantee of Outcomes
Coaching, workshops, consulting, and equine-assisted work are collaborative processes. Stellar Arc Holistic makes no guarantees regarding specific outcomes, results, or experiences, as these depend substantially on your own engagement and circumstances.
8. Confidentiality
Information shared during sessions is held in confidence, subject to the limits described in our Privacy Policy and Risks & Recommendations document (including legal obligations to report imminent harm to self or others, or as otherwise required by law).
9. Intellectual Property
All website content, workshop materials, frameworks, and original content created by Stellar Arc Holistic are the intellectual property of Stellar Arc Holistic and may not be reproduced, distributed, or used commercially without written permission.
10. Limitation of Liability
To the fullest extent permitted by law, Stellar Arc Holistic and Nicole Palker-Dorio shall not be liable for any indirect, incidental, consequential, or special damages arising from your use of the Services or website. The Coach is not liable or accountable for any action or inaction, or for any direct or indirect results of the Services provided to the client. Your engagement with Services is voluntary and undertaken at your own risk, subject to the assumption-of-risk provisions above.
11. Governing Law
These Terms are governed by the laws of the State of Connecticut, without regard to conflict-of-law principles.
12. Changes to These Terms
Stellar Arc Holistic may update these Terms from time to time. Continued use of the website or Services after changes constitutes acceptance of the revised Terms.
